Privacy Policy
Telehaus Travel Consulting Ltd (“Telehaus”, “we”, “us”) respects your privacy and is committed to protecting your personal data. This Privacy Policy explains what personal information we collect from you, why we collect it, how we use it, and the measures we take to safeguard it, in accordance with the EU General Data Protection Regulation (GDPR). By using our services or website, you agree to the practices described in this Privacy Policy.
Personal Data We Collect
We collect personal data that you voluntarily provide to us when you contact or interact with Telehaus. This typically includes:
- Contact Information: Your email address (when you fill out our contact form or send us an email).
- Inquiry Details: Any personal details or preferences you include in your message to us – for example, a brief description of your travel request or consulting needs.
We do not actively collect sensitive personal data (such as ID numbers, financial information, etc.) via our website. We only gather the information necessary for us to respond to your inquiries and provide our services. Additionally, our website may automatically collect certain technical data (like IP address, browser type, and cookies) through analytics tools – see our Cookie Policy below for details on this.
Purpose of Data Collection and Use
We collect and use your personal data only for specified and legitimate purposes, including:
- Responding to Your Inquiries: When you contact us (for example, by sending a request via our website or email), we use your email address and the information you provided to respond to you and address your request.
- Offering Our Services: We may use your contact information to follow up with you about our travel consulting services. For instance, if you expressed interest in our services, we might later reach out with additional information, tailored offers, or proposals that we believe could be useful to you. This could include sending you updates or marketing communications about our services, but only with your consent or as otherwise permitted by law.
We will not use your personal data for any purposes that are incompatible with the above. We do not use your information for automated decision-making or profiling (such as automatic service eligibility decisions) without your knowledge or consent.
Legal Basis for Processing
Under the GDPR, we must have a valid legal basis to process your personal data. Depending on the context, our processing of your information is justified on one or more of the following bases:
- Consent: By voluntarily providing your email and details in an inquiry, you consent to us using that information to contact you. For example, when you submit our contact form or email us, we interpret that as your consent for us to reply and provide information. If we send you marketing emails (such as newsletters or offers), this will be done with your explicit consent (e.g. if you sign up for such communications). You have the right to withdraw consent at any time.
- Legitimate Interests: In some cases, we may process your data because we have a legitimate interest in doing so – for example, our interest in responding to potential client inquiries and promoting our services. When we rely on legitimate interest, we ensure that our interest is not overridden by your data protection rights. If you request information from us, contacting you to provide that information or follow-up can be considered within our legitimate business interests (since you indicated interest in our services).
Cookies and Analytics
When you visit our website, we may also collect certain data automatically through cookies and similar tracking technologies. Cookies are small text files placed on your device that help us recognize you and store preferences and other information. We use cookies for purposes such as analyzing site traffic and marketing. We do not use cookies to collect personally identifying information without your consent. Please refer to our detailed Cookie Policy below for more information on what cookies we use and how you can control them.
Data Sharing and Disclosure
Telehaus does not sell or rent your personal information to third parties. We value your privacy and will only share your data in a few specific situations:
- Service Providers: We may share information with trusted third-party service providers who perform functions on our behalf and under our instructions. For example, we might use an email service platform to send out newsletters, or analytical tools to process usage data. Any such partners are bound by confidentiality and data protection obligations and cannot use your data for any other purposes.
- Advertising Platforms: We do not hand out your data to advertisers for their own use, but we might use your data ourselves to reach you via third-party advertising platforms. For instance, we may use your email address for targeted advertising campaigns – e.g. by creating a hashed (encrypted) custom audience on platforms like Facebook or Google to show you Telehaus ads. In this case, your email is processed by that platform solely to identify you as part of our target audience; we do not grant them any rights to use your email for their own purposes.
- Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., for court orders or law enforcement purposes), or to establish or exercise our legal rights, or defend against legal claims.
Aside from the situations above, no third parties will receive or process your personal data. In particular, we do not share your information with other companies for their independent marketing or business purposes.
Data RetentionLegitimate Interests: Legitimate Interests:
We will retain your personal data only for as long as necessary to fulfill the purposes we collected it for, including any legal, accounting, or reporting requirements. Specifically:
- If you contact us with an inquiry but do not become a client, we will keep your contact information and inquiry details for a reasonable period in order to follow up with you and maintain records of our communication. We periodically review such data and will delete or anonymize information that is no longer needed.
- If you become a Telehaus client, we may retain your information for the duration of our business relationship and thereafter as required by law or our legitimate interests (for example, retaining invoicing records or communications as required by tax laws or to handle any future queries).
In all cases, if you ask us to remove your personal data, we will do so (see "Your Rights" below), provided we do not have a compelling reason or legal obligation to keep it.
Your Rights Under GDPR
As an individual whose personal data we process, you have certain rights under GDPR and other applicable data protection laws. We are committed to respecting these rights, which include:
- Right of Access: You have the right to request a copy of the personal data we hold about you and to obtain information about how we process it.
- Right to Rectification: If any personal data we have about you is incorrect or incomplete, you have the right to have it corrected or updated without undue delay.
- Right to Erasure: You have the right to request that we delete your personal data in certain circumstances (this is also known as the “right to be forgotten”). For example, if the data is no longer necessary for the purposes it was collected, or if you withdraw consent and we have no other legal basis to continue processing it, we will erase your data upon request.
- Right to Withdraw Consent: If we are processing your personal data based on your consent, you can withdraw that consent at any time. For instance, you can opt out of marketing emails by clicking the unsubscribe link in the email or by contacting us directly. Withdrawing consent will not affect the lawfulness of any processing we conducted prior to your withdrawal.
- Right to Object: You have the right to object to certain processing activities. For example, you can object to processing of your data for direct marketing purposes at any time, and we will stop using your data for that purpose. In some cases, you may also object when we are processing your data based on legitimate interests – if you believe your rights and freedoms outweigh our legitimate interests.
- Right to Data Portability: You have the right to obtain your personal data in a structured, commonly used, machine-readable format and to transfer that data to another data controller, where applicable. This typically applies to data processed by automated means based on your consent or on a contract.
- Right to Lodge a Complaint: If you believe we have infringed your privacy rights or GDPR requirements, you have the right to lodge a complaint with a supervisory data protection authority. Telehaus is based in Poland, so our lead supervisory authority is the Polish UODO (Urząd Ochrony Danych Osobowych). We encourage you to contact us first, so we can address your concerns directly.
To exercise any of these rights, you can contact us using the contact information provided in the "Contact Us" section below. We will respond to your request in accordance with applicable law, typically within one month.
Data Security
We take the security of your personal data seriously. Telehaus implements appropriate technical and organizational measures to prevent unauthorized access, disclosure, alteration, or destruction of your information. These measures include using secure networks, encryption and access controls for data, and limiting access to personal data to those in our team who need it for the purposes described. While we strive to protect your information, please note that no method of transmission over the Internet or electronic storage is 100% secure, so we cannot guarantee absolute security. However, we continuously review and enhance our security practices to protect your data.
International Transfers
As a rule, we store and process personal data on servers located in the European Union. However, some of our third-party service providers (such as analytics or advertising partners like Google or Facebook) may process data outside of the EU (for example, in the United States). Whenever we transfer or allow access to your personal data outside the European Economic Area (EEA), we will ensure that appropriate safeguards are in place to comply with GDPR requirements. This may include relying on Standard Contractual Clauses approved by the European Commission, or ensuring the recipient is certified under an approved framework that guarantees adequate data protection. Our goal is to ensure your data receives the same level of protection as it would within the EU.
